4. How and Why We Use Your Data

When you complete our service finder quiz or project questionnaire and provide your contact details, we use your email address to follow up on the result and your project. You must tick a consent checkbox to submit your data.
Marketing communications — Legal basis: Consent
If you have opted in to receive our newsletter or marketing emails, we will use your name and email address to send you information about interior design, our services, and SA1 Interiors. You can withdraw this consent at any time.
Processing payments — Legal basis: Contract
When you purchase our services, we process your payment details through Square, our payment provider. We do not store your full payment card details.

5. How We Store Your Data
5.1 Where your data is stored
Data submitted through our website contact form is received and stored by Squarespace, whose servers are located in the United States. Squarespace is certified under the EU-US Data Privacy Framework and implements appropriate safeguards for international data transfers.
Data submitted through our online quiz and project questionnaire is transmitted to and stored in Google Sheets, a cloud-based service operated by Google LLC. Google's servers may be located outside the UK. Google implements Standard Contractual Clauses and other appropriate safeguards for international data transfers.
5.2 How long we keep your data
We retain your personal data only for as long as is necessary for the purposes set out in this policy:
• Enquiry data: up to 2 years from the date of enquiry, unless you become a client
• Client data: up to 7 years from the end of the client relationship, to comply with legal and accounting obligations
• Marketing data: until you withdraw your consent or we are no longer actively marketing
• Payment data: as required by our payment provider and applicable tax law
When your data is no longer required, we will delete or anonymise it securely.
5.3 Security measures
We take the security of your personal data seriously and implement appropriate technical and organisational measures to protect it, including:
• Access controls on Google Sheets — only Shelley Matthews, Director of SA1 Interior Design Ltd, has access to data stored in our Google Sheets
• Two-factor authentication on all accounts that hold personal data
• Password-protected devices used to access personal data

• Use of Google Workspace security features including audit logs
However, please be aware that no method of electronic transmission or storage is completely secure. While we take all reasonable steps to protect your data, we cannot guarantee absolute security.
6. Sharing Your Data
We do not sell, rent, or trade your personal data. We will only share your data with third parties in the following circumstances:
• Service providers: We share data with trusted third-party providers who help us operate our business (Squarespace, Google, Square). These providers are contractually obligated to keep your data secure and only use it to provide services to us.
